Privacy Policy
What we collect, why, who we share it with, how long we keep it, and the choices you have. We don't sell personal information and we don't use your data to train AI models.

Pre-launch draft pending attorney review. Emerald CX is not yet accepting paid accounts, so this document is not yet in effect.
Who this covers
Emerald Infinite operates Emerald CX, software that local service businesses use to book appointments, message customers, take payments and run marketing.
For people who sign up for and use Emerald CX on behalf of a business (owners and team members), we decide how your information is used — we are the “controller.”
For customers of those businesses (for example, someone booking a haircut), the business decides how your information is used. We process it on the business's behalf under our Data Processing Addendum. If you're a customer of a business that uses Emerald CX, contact that business first about your information; we'll help them respond.
Information we collect
| Category | Examples | Why |
|---|---|---|
| Account details | Name, email, phone, password (hashed) | Sign-in, security, service notices |
| Business customer records | Name, phone, email, optional birthday (month/day), address for on-site jobs | Booking, reminders, receipts, and marketing only where consent was given |
| Appointments & sales | Services, times, amounts, tips, last four digits of a card | Delivering the service, accounting, tax |
| Messages & calls | Text, chat and email content; call recordings and transcripts when a business turns recording on | Communication, coaching, missed-call follow-up |
| Consent records | Exact consent wording, time, IP address | Proving texting and email consent |
Card numbers are collected and stored by Stripe, never by us.
How we use information
- To provide, secure and support Emerald CX.
- To send messages a business asks us to send — reminders, confirmations, and marketing only to people who opted in.
- To power AI features (Ivy and Jade) using only the context needed for a given task.
- To bill businesses for their subscription and usage.
- To comply with law and protect against fraud and abuse.
We do not sell personal information, we do not share it for cross-context behavioral advertising, and our AI vendors may not train models on it.
Who we share it with
Service providers that help us run Emerald CX, listed on our Subprocessors page, under contracts that limit their use of the data. We also share information when the law requires it or to protect people's safety.
How long we keep it
- Message bodies: 2 years by default (a business can shorten this).
- Call recordings and transcripts: 90 days by default.
- AI prompts and outputs: 90 days unless a business saves a report.
- Payment and ticket records: 7 years for tax purposes, anonymized after a customer is deleted.
- Consent records: 5 years after the last message, as proof of consent.
- Business accounts: deleted 30 days after a business closes its account.
Your choices and rights
Depending on where you live, you may have the right to access, correct, delete or get a copy of your personal information, and to opt out of certain uses. Submit a request on our Privacy Request page or email privacy@emeraldcx.com. We respond within 45 days and won't treat you differently for asking.
Reply STOP to any text to stop texts from that business. Every marketing email has a one-click unsubscribe link.
We honor Global Privacy Control signals on this website.
Do Not Track and third-party tracking
This website doesn't use analytics, advertising pixels, session recording or other third-party tracking, and it doesn't set cookies. Third parties can't use it to track you over time or across other websites. Because there is no tracking to switch off, we don't change how the site works when your browser sends a Do Not Track signal; we do treat a Global Privacy Control signal as an opt-out of any sale or sharing.
Changes to this policy
When we change this policy, we update the effective date at the top of this page. For material changes we'll also email account owners and show a notice in the app at least 30 days before the change takes effect.
Children
Emerald CX accounts are for adults 18 and older and the service isn't directed to children. Where a business serves minors (for example, lessons), the parent or guardian is the customer.
Health information
Emerald CX is not designed for protected health information and our Acceptable Use Policy prohibits storing it. Clinics should use Emerald EHR.
